Current System

Th current system developed replaces the manual procedures existing in the day care. The purpose of the system is to save time, space and effort in processing and storing information. The current system is used by the staff at the day care to process applications, store the data and view/print the information.

Physical System

Enrollment procedures

• Parents of the child need to bring their original custody and medical forms.
• Then, data is keyed into a form letter in the computer.
• The form is then printed out for parents for validation and to minimize error.
• An agreement form will be handed to parents to sign.

Child record

• Data of the child is keyed into a form letter as questions are asked to parents.
• The form is then printed out for parents for validation and to minimize error.

Updating monthly account

• The principle and the director will only have access to the monthly budget account. This will allow them to monitor the progress of the daycare center.

Announcement, reminders and letters

• Staff will be able to printout announcements, reminders and letters to every parent.

Logical System

Once the parent has decided to enroll in the daycare center, information will be entered into a form letter, which is linked into a Database in the computer. There will also be a separate database to store information of the child. Search functions will be included in the system so that staff will have easy access to a particular child. The system will be able to print out information as desired. The staff can only access all the information in database. In order to maintain the security of the information in the database, a password will be set to the system.

MAINTENANCE

Maintenance Issues

1. Redesign graphical user interface and report layouts.
2. To improve the maintainability and reliability of the whole project especially in the account and payment section.
3. Improve New account setup.
4. Add new security functionality.
5. Enhance the printing function to allow users to select a particular page to be printed.
6. Change graphical user interface from Microsoft Access to Visual Basic 6.0.

Maintenance Requirements

Our Group will be using Perfective and Preventive maintenance for the Daycare Management System

• Preventive Maintenance

1. To add more security to the system, more security features will be added along with adding a new security database. Different levels of security will be identified depending on the users logging into the system.
2. To make the system more user friendly we will incorporate the graphical user interface in Visual Basic 6.0.
3. The new account setup fuctionality will be enhanced to make it more user friendly and maintainable.
4. To improve the maintainability and reliability of the whole project especially in the account and payment section.

• Perfective Maintenance

1. The print fuction at present prints all pages of the reports and forms. We will be adding new functionality to allow user to select a page that he/she wants to print.
2. The graphical user interface will be enhanced to be more user friendly and the reports more organized.
